AI Tools for Short-Term Rental Hosts: What to Automate and What Needs a Person
A triage map for hosts who run a direct booking site: what guest-message, pricing, writing, and photo tools can take, what their own docs fence off, and what you should still do yourself.
Last verified on 26 Oct 2026 against official docs.
AI drafts. A person decides on money, refunds, complaints, and any photo that could show a room the guest will not walk into. Steven Young put it this way on Quora: "AI drafts and a human sends anything involving money, refunds or a complaint" (Steven Young on Quora).
That answer names PriceLabs, Wheelhouse, ChatGPT, and Claude as examples. It does not say which tools he pays for or runs. Prices and fences below are from vendor pages and Airbnb's help center, not a private stack, and the same facts have to hold on your direct booking site.
Independent publication. Direct Booking Academy is not affiliated with, endorsed by, or an official resource of Airbnb, Hostaway, Guesty, Hospitable, OwnerRez, HostReply, PriceLabs, Beyond, or Wheelhouse. Quotes are from the pages linked, as accessed on October 25 and 26, 2026. This is not legal advice.
What should I automate, and what should a person keep?
Keep a person on money, the price floor, the facts, and any photo that could misrepresent the room.
| Task | Safe to automate | Keep a person | What the vendor itself says |
|---|---|---|---|
| Guest messages | Routine facts from a current knowledge base, plus a draft you read before it sends | Refunds, discounts, compensation, payments, date changes, complaints, damage, and a negative tone | Hospitable will not take refunds, payments, or availability |
| Pricing | Daily rates and minimum stays inside your minimum and maximum | The real minimum, the maximum, event overrides, and a yes or no on a suggestion | Beyond stays inside your minimums and maximums. Athena waits for your yes |
| Writing | A first draft from your real details, which you then edit | Amenities, rules, distances, negative-review replies, promises, and the final voice | Airbnb's Content Policy covers AI text, and you are responsible |
| Photos | Lighting, color, white balance, and straightening that leave the room accurate | A side-by-side with the room; no added, removed, or changed objects, view, or damage | Airbnb asks hosts to remove photos that misrepresent the listing |

Which guest messages can AI answer on its own?
Routine facts from a knowledge base you keep current, such as wifi, parking, and check-in steps. Refunds, payments, and complaints stay with a person.
Airbnb still expects a fast reply around a stay: within 1 hour during the day for a time-sensitive issue near or during the stay, within 12 hours otherwise when arrival is inside 5 days, and within 3 days when check-in is more than 5 days away (Airbnb Help).
- Hostaway AI Replies draft a suggestion for your review by default. Auto-reply is optional and set per rule; only then does the AI send without approval. Powered by ChatGPT. Shared data includes the guest's name, stay dates, the property name, and "Total price." The page also lists Auto-Guest Review Templates (Hostaway Help, September 23, 2026).
- Hostaway AI CoHost previews a message, a task, or a review reply, and nothing is sent until you approve it. If the knowledge base lacks the fact, it says so rather than guessing (Hostaway changelog).
- Guesty AutoReply, once you activate that agent, sends without manual approval, using a short delay to simulate human interaction. You set a confidence threshold; messages below it need a person. You can limit replies to chosen categories, or to messages under 40 words with positive sentiment (Guesty Help).
- Hospitable AI Auto Reply is for Mogul customers only, on the September 2, 2026 help page. It will not reply about refunds, discounts, compensation, or pricing; payments, bank details, or payment links; or calendar availability. Early or late check-in and date changes are refused unless the Knowledge Hub covers them. It will not take actions or make decisions on the host's behalf. Escalation messages go out exactly as written. "As Inbox AI continues to improve, some of these restrictions may be lifted" (Hospitable Help).
- OwnerRez gives an AI assistant full read and write by default, including editing a booking, changing rates, or sending a guest message, and you choose whether it asks first. Read-only stops the changes. "AI assistants can make mistakes. Double-check important numbers" (OwnerRez).
- HostReply answers the guest itself, so it is not draft-only. When it does not know, it tells the guest it is checking and asks you, then escalates on WhatsApp after 10 minutes (HostReply). The page does not say whether those guest replies are on by default.
Prices for Hostaway, Guesty, OwnerRez, and HostReply were not checked for this guide. Hospitable's paid-tier prices were not on the page that was opened: it did not show a number.
Airbnb's own auto-replies are a separate sender. Guests receive AI-powered answers to common questions from the amenities, the listing description, and the house manual. Each auto-reply identifies Airbnb as the sender, and you can delete it and send a different response. Suggested actions, such as a reservation change or a special offer, are cards you tap. The May 20, 2026 page says the feature is "Rolling out in the coming months," and it does not say whether you can turn the auto-replies off for one listing (Airbnb Resource Center).
Should AI ever handle refunds or complaints for my rental?
No. Let the tool draft, and have a person send anything about money, a refund, or a complaint. Early or late check-in and date changes are the Knowledge Hub exception in the Hospitable note above.
Does dynamic pricing software change my prices automatically?
Yes, within the limits you set. PriceLabs updates rates and minimum stays daily. Beyond prices "inside the minimums and maximums you set." PriceLabs Athena only suggests a change and waits for your yes (PriceLabs Help; Beyond; PriceLabs Athena). On rates, the same Quora answer says to "set a real minimum price and let it work" (Quora). You still set the minimum, the maximum, overrides for events you know about, and a yes or no on a strategy suggestion.
Prices below were checked on October 25, 2026. The PriceLabs ladder was read again on October 26, 2026, because the main pricing page did not render. For the USA, UK, Canada, Europe, Australia, New Zealand, and Israel, each band is the rate for listings after the count in that row, exclusive of sales tax.
| Tool | Price as of Oct 25, 2026 | What it will change | Source |
|---|---|---|---|
| PriceLabs | 1 listing: USD 19.99. 2–5: USD 14.99 for each listing after the 1st. 6–15: USD 12.99 for each listing after the 5th. 16–25: USD 8.99 for each listing after the 15th. 26–50: USD 6.99 for each listing after the 25th. 51–100: USD 5.99 for each listing after the 50th. 101–250: USD 5.49 for each listing after the 100th. 251+: USD 5.00 for each listing after the 250th. 30-day free trial when listings are first added to Dynamic Pricing. Mapped listings across channels: USD 1, plus applicable sales tax. Mapped multi-units: USD 5, plus applicable sales tax. The same article prints different rates for the rest of the world and for Brazil. | Automated daily rate and minimum-stay updates | PriceLabs Help |
| PriceLabs Athena | Free in beta, rolling out in waves | Nothing until you choose Accept, Review, or Reject. PriceLabs says the pricing engine sets prices, not the assistant | Athena |
| Beyond | Free plan: "Beyond won't touch your prices." Growth: 1% of bookings. Pro: 1.25% of bookings. Enterprise: custom. First USD 5,000 in bookings free. The fee covers the nightly rate plus guest-paid fees, not taxes or deposits. Owner Hub from USD 30 per month. Advanced Connectivity from USD 10 per month. | Nightly prices inside the minimums and maximums you set, on the paid plans | Beyond plans |
| Wheelhouse | Pro Flex: 1% of revenue, with a USD 2.99 minimum monthly fee. Pro Flat: USD 19.99 per listing per month, or USD 16.99 for 10–49 listings. 50 or more: contact sales. Dynamic Sets: USD 12.99 per set per month. A free tier is listed. | Daily price syncing when you enable it, with version history so you can revert | Wheelhouse pricing |
Airbnb's September 30, 2026 update does not name a fee for its own price tool. It says: "We'll recommend a price range, and with one tap, nightly prices adjust automatically based on daily demand and supply. Hosts can change their range at any time." It also says "Later this fall," so the page does not say whether that control is on for your listing (Airbnb News).
Can I use ChatGPT or Claude to write my Airbnb listing and house manual?
Yes, for a first draft. For a house manual or a listing, his instruction is to "feed it your real details, then edit it so it sounds like you" (Quora). That answer names ChatGPT and Claude as examples. It does not say he runs either one. The pages checked here do not describe an Airbnb tool that writes the host's listing description. Search is separate: results now include AI-powered descriptions that highlight key features of a home (Airbnb News, September 30, 2026).
Airbnb's words: "Content includes any written, photographic" content, "including any content generated or edited using AI," covering listing titles and descriptions, public and private reviews, and messages. "Users are responsible for their content" (Airbnb Help, article 546). Its own AI pulls answers from your description and house manual (page 770). A review response has to comply with the reviews policy, and reviews "must be relevant, authentic, trustworthy, and follow our Content Policy" (Airbnb Help, article 2673). That page does not say Airbnb requires a host to disclose that AI wrote the text.
A wrong wifi password or a wrong distance in the amenities, the listing description, or the house manual is what those auto-replies can repeat. The listing page and any additional host statements have to accurately describe the home and the amenities (Airbnb Help, article 2895).
Review highlights are generated with AI. Host responses are not included, and the highlights can't be edited. There is a feedback route if a highlight is inaccurate (Airbnb Help, article 2658).
What photo edits are safe on Airbnb?
Lighting, color, white balance, and straightening that keep the room accurate.
He draws the photo line, in that same answer, as "fix lighting, color, white balance and gray skies, never to add furniture, change the view or erase stuff" (Quora). The gray-sky clause is his wording. Article 2895 and the California statute below do not mention skies, so check the platform's rules before you change a sky.
Direct Booking Academy's publisher also operates BNB Boost.
When you want better listing photos from a light and color pass, run the files you already took through photo enhancer software such as BNB Boost, and compare each file with the room. If those files also live in Lodgify or Hospitable, the upload steps are in the Lodgify photo guide and the Hospitable photo guide.
On article 2895, photos and the description "should accurately represent the space provided," and "We will ask hosts to remove content if AI or other digital technology has been used to edit flaws, hide damage, add amenities or attributes that are not part of a listing, or otherwise misrepresent the listing." Enforcement named there can include content removal, suspension, refunds taken from payouts, and loss of Superhost (Airbnb Help, article 2895).
California's AB 723, Business and Professions Code section 10140.8, took effect January 1, 2026. It applies to real estate brokers and salespersons advertising the sale of real property, not to short-term rentals. As vocabulary only, a disclosure plus a link to the unaltered image is required when an ad image is altered "to add, remove, or change elements." The statute excludes ordinary adjustments such as lighting, sharpening, white balance, color correction, angle, straightening, cropping, and exposure that do not change the representation (California Legislative Information).
A plain-language note on that line is Airbnb's photo-editing rules.
What should I not trust an AI tool to do yet?
He closes that Quora answer with what he still will not hand over: "What I don't trust yet is fully autopilot guest communication with no human in the loop, and anything that generates your property instead of improving real photos of it" (Quora). That includes a connection that can change a booking while you are not looking.
Generated property images fall under the removal rule quoted in the photos section.
In Moffatt v. Air Canada, 2024 BCCRT 149 (February 14, 2024), a British Columbia Civil Resolution Tribunal found the airline's chatbot had misstated a bereavement-fare refund policy. It called that negligent misrepresentation: "It should be obvious to Air Canada that it is responsible for all the information on its website. It makes no difference whether the information comes from a static page or a chatbot." The order was $812.02 (Civil Resolution Tribunal). This is an airline matter in a Canadian small-claims tribunal: an analogy, not legal advice, and not a short-term rental decision. No rental case of an AI tool giving a wrong refund was in the sources for this guide.
What belongs on a 15-minute weekly AI audit?
Once a week, about 15 minutes: read what went out, confirm the source copy, and confirm the price floor.

- Read messages an AI sent, not only drafts. Pull any about money, a refund, a discount, a date change, a complaint, or a promise.
- Check wifi, parking, check-in, and house rules in the knowledge base, house manual, and listing description. Auto-replies read that copy (page 770), and so do guests on your direct site.
- Check the minimum and the maximum wherever a pricing tool updates rates (PriceLabs Help). Athena still waits on Accept, Review, or Reject (Athena).
- Compare new photos with the room. Drop a frame the removal rule above would flag (Airbnb Help, article 2895).
- Re-open the guardrail page for any tool set to send on its own (Hospitable Help).
Keep enhanced photos next to the real room, and drop any frame that changed it.
FAQ
Does Airbnb tell guests when its AI answered instead of me?
Yes. Airbnb says each auto-reply identifies Airbnb as the sender, and you can delete the reply and send a different response (Airbnb Resource Center, May 20, 2026).
Can I stop Hostaway or Guesty AI from sending without approval?
Hostaway drafts replies for your review unless you turn Auto-reply on for a rule (Hostaway Help). Guesty sends without approval only after you activate AutoReply (Guesty Help). The message section above has the rest.
How much do PriceLabs, Beyond, and Wheelhouse cost?
As of Oct 25, 2026, use the pricing table above. PriceLabs starts at USD 19.99 a month for one listing in the USA, UK, Canada, Europe, Australia, New Zealand, and Israel, then a lower rate for each listing after that (PriceLabs Help). Beyond Growth is 1% of bookings and Pro is 1.25%, first USD 5,000 in bookings free (Beyond). Wheelhouse Pro Flex is 1% of revenue with a USD 2.99 monthly minimum; Pro Flat is USD 19.99 per listing per month (Wheelhouse).
Do I have to disclose AI-edited photos on Airbnb?
The Airbnb help page checked for this guide does not state a requirement to disclose AI-edited photos. Misrepresentation is the removal rule quoted in the photos section (Airbnb Help, article 2895). California's AB 723 disclosure applies to advertising the sale of real property, not to short-term rentals (California Legislative Information).
Are AI review highlights on my listing editable?
No. Airbnb says review highlights are generated automatically using AI, that host responses are not included, and that the highlights can't be edited. There is a feedback route if a highlight is inaccurate (Airbnb Help, article 2658).
Who is liable if an AI chatbot gives a guest wrong info?
This is not legal advice, and it is not a short-term rental case. Moffatt v. Air Canada, 2024 BCCRT 149 (February 14, 2024) found the airline responsible for a chatbot that misstated a bereavement-fare refund policy and ordered $812.02 (Civil Resolution Tribunal).
